Notes towards a responsible, commons-based approach to sharing media

Current thinking about sharing and group ownership of workshop media and artefacts, and the protection of the privacy and choice of participants against unintended public exposure or exposure to AI scraping.

Across workshops we aim for welcome, co-design and meaningful shared ownership to support transdisciplinary collaboration and communities of practice developing fresh research in conversation with each other. This requires good faith and good trust.

Shard authorship of workshop artefacts

Workshop artefacts that are intended to be shared across communities of practice need to have authorship attributed to all contributors. Privacy and permissions need to be discussed at the outset, and then agreement signalled through a form, or an online form, that explicitly grant permissions to share, based on the specific context of the workshop.

Where possible, materials will be licensed under a Creative Commons Attribution-ShareAlike 4.0 International License (CC BY-SA 4.0). This means works can be freely used and adapted by others, provided credit is given to the original creators and any derivative works are shared alike. This is context dependent, and there are contexts in which this licence is not appropriate.

Photographs and Participant Likeness

Additional protections need to apply when media involves identifiable images of participants and that requires an opt-in format.

Explicit Permission for Participant Likeness

Photographs, videos, and media depicting a participant’s likeness need to have explicit permission to be shared. This permission must be informed and specify the intended use, ensuring that participants are fully aware of where and how their likeness will appear.

Limited and Protected Sharing

Images on the web risk being inadvertently misused through AI scraping. Efforts may be made to share in restricted environments, or in trusted community platforms, to minimise exposure to these risks.

Revocation of Consent and Right to Removal

Participants reserve the right to take back consent for the sharing of their likeness at any time. To respect this, we will immediately remove or replace any images upon request, honouring participant freedom of choice and preserving their control over their personal likenesses.
